Privacy Policy

The Cincinnati Regional Chamber (“we,” “us,” or “our”) is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your personal information when you visit cincinnatichamber.com or interact with us through it (collectively, the “Services”). Please read this policy carefully. By using our Services, you consent to the practices described below.

1. Information We Collect

1.1 Information You Provide Directly

  • Contact information, such as your name, email address, phone number, employer and job title, when you join the Chamber, register for an event, or complete a form
  • Membership and account details, including the credentials you use to log in to member services
  • Event registration details, including attendee names, dietary or accessibility requirements you choose to share, and sponsorship interests
  • Payment and billing information when you pay membership dues, register for a paid event, or purchase sponsorship. Card details are processed by our payment providers; we do not store full card numbers
  • Communications you send to us, including inquiries, survey responses, and feedback
  • Newsletter and program subscription preferences

1.2 Information Collected Automatically

  • IP address, browser type, and device identifiers when you visit our website
  • Pages visited, time spent, referring URLs, and other browsing behavior
  • Cookie and tracking technology data (see Section 4 – Cookies & Tracking Technologies)

1.3 Information from Third Parties

  • Publicly available business information when you contact us on behalf of a company
  • Registration and engagement data from the event, membership, and email platforms we use to run our programs

2. How We Use Your Information

  • To administer memberships, process dues, and provide member benefits
  • To register you for events and communicate details about programs you have joined
  • To send newsletters, invitations, and updates about Chamber initiatives, where you have asked to receive them or where permitted by law
  • To respond to your inquiries and communicate with you
  • To operate, maintain, secure, and improve our website and programs
  • To measure the reach and effectiveness of our communications and advertising
  • To detect, prevent, and investigate fraud, security incidents, or other illegal activity
  • To respond to legal requests, enforce our policies, and protect our rights

3. How We Share Your Information

We do not sell your personal information for money. Some of our advertising and analytics cookies may be considered a “sale” or “sharing” of personal information under certain state privacy laws; you can opt out at any time using the “Do Not Sell or Share My Personal Information” link in the footer of every page. We may share your information in the following circumstances:

3.1 Service Providers

We engage trusted third-party vendors to assist in operating our organization (e.g., website hosting, membership and event management platforms, payment processors, and email delivery services). These providers are authorized to use your information only as necessary to provide services to us and are bound by confidentiality obligations.

3.2 Event Partners and Sponsors

When you register for an event, we may share limited attendee information with the event’s host venue, co-hosts, or sponsors where that sharing is described at the point of registration. We will tell you before your information is shared for this purpose.

3.3 Legal and Regulatory Compliance

We may disclose your information in response to a subpoena, court order, government inquiry, or other legal process, or where we believe disclosure is necessary to protect our legal rights, ensure safety, or comply with applicable law.

3.4 Business Transfers

In the event of a merger, reorganization, or transfer of all or a portion of our assets or programs, your information may be transferred to the receiving entity, subject to the protections of this Privacy Policy.

3.5 With Your Consent

We may share your information with other third parties when you have given us explicit consent to do so.

4. Cookies & Tracking Technologies

When you first visit our website, a cookie consent banner lets you accept all cookies, reject all non-essential cookies, or customize your choices by category. Non-essential cookies and tracking scripts are blocked and load only after you opt in. We keep a log of the consent choices you make so we can honor and evidence them, and you can change or withdraw your consent at any time using the “Do Not Sell or Share My Personal Information” link in the footer of every page. The categories of cookies we use are:

  • Strictly Necessary: required for the website to function and stay secure — the website platform (WordPress / Elementor), this cookie consent tool, load balancing and bot protection, and spam protection on our forms. Always active.
  • Functional: enable optional conveniences such as embedded maps, embedded forms and video players, and remembering preferences you set. These load only after you opt in.
  • Analytics: help us understand how visitors find and use the website — which pages are viewed, how long visits last, and which links are clicked — so we can improve it. Includes Google Analytics, loaded through Google Tag Manager. These load only after you opt in.
  • Marketing: used to measure the performance of our advertising and to show you relevant content on other platforms, including Google, Meta (Facebook and Instagram), and LinkedIn advertising tags. These load only after you opt in.
  • Performance: help us measure and improve how quickly and reliably the website loads. These load only after you opt in.

We also honor the Global Privacy Control (GPC) browser signal as a valid request to opt out of the sale or sharing of personal information. Rejecting or withdrawing consent does not affect the lawfulness of processing carried out before withdrawal; strictly necessary cookies remain active because the website cannot function without them.

5. Data Retention

We retain your personal information for as long as necessary to fulfill the purposes described in this Privacy Policy, comply with our legal obligations, resolve disputes, and enforce our agreements. Membership and financial records are retained for the periods required by applicable law and our record-keeping obligations. When information is no longer needed, we securely delete or anonymize it.

6. Your Privacy Rights & Choices

Depending on your state of residence, you may have the right to access, correct, or delete the personal information we hold about you; to opt out of marketing communications; to request a portable copy of your data; and to restrict certain processing. To exercise any of these rights, please contact us using the information in Section 10. We will respond within a reasonable timeframe and in accordance with applicable law, and we may need to verify your identity before fulfilling your request. You can unsubscribe from our marketing emails at any time using the link at the bottom of any message.

Non-Discrimination. We will not discriminate against you for exercising any of your privacy rights. You will not be denied goods or services, charged different prices or rates, or provided a different level or quality of goods or services because you exercised a right under applicable law.

Authorized Agents. You may designate an authorized agent to submit a privacy request on your behalf. We may require proof of your written authorization and may need to verify your identity directly before processing a request submitted by an agent.

Appeals. If we decline to take action on your request, you may appeal our decision by contacting us using the information in the “Contact Us” section of this policy with the subject line “Privacy Request Appeal.” We will respond to your appeal within the timeframe required by applicable law and, where required, will inform you of your right to contact your state Attorney General if you have concerns about the outcome.

Response Timing. We will respond to verifiable consumer requests within 45 days of receipt. Where reasonably necessary, we may extend that period once by an additional 45 days, in which case we will notify you of the extension and the reason for it before the original 45-day period expires.

7. Children’s Privacy

Our Services are directed to businesses and professionals and are not intended for children under 13. We do not knowingly collect personal information from children. If we become aware that we have inadvertently collected information from a child, we will take immediate steps to delete that information.

8. Data Security

We implement technical, administrative, and physical safeguards designed to protect your personal information against unauthorized access, loss, misuse, alteration, or destruction, including SSL/TLS encryption for data transmitted through our website. Despite these measures, no system is completely secure; please notify us immediately if you suspect unauthorized access to your information.

9. Third-Party Links & Changes to This Policy

Our website contains links to third-party websites and services, including partner organizations, event platforms, and job boards. This Privacy Policy does not apply to those third-party services, and we encourage you to review their privacy policies. Additional terms that govern your use of this website — including our Terms & Conditions, Prepayment Policy, Cancellation Policy, and information about one-click login systems — are published on our Legal Notices page. We reserve the right to update or modify this Privacy Policy at any time; when we make material changes, we will update the “Effective Date” at the top of this page and, where appropriate, notify you with a prominent notice on our website.
